This document sets out how this registered training organisation safeguards your privacy. In this document “We” means this real estate office and will also be referred to as “Us” and “This place of business” or “this office” in this document.In this policy “You” means the person/the entity seeking any services from This place of business, including but not limited to, the following: if You are an employee, an independent contractor, landlord, tenant, vendor, purchaser, another agent, tradesperson, media channels or any other 3rd party person/entity relating to the receiving of service by Us or the providing of a service to Us.

2. Privacy policy
This place of business recognises the importance of protecting your privacy and the requirement expected by Us to maintain a high standard of protection concerning “sensitive” information provided by You which includes your name, address and other contact details. We are committed to ensuring the continued integrity and security of the personal information You entrust to Us and to manage your personal information in an open and transparent way. We appreciate that the success of our business is largely dependent upon a relationship of trust being established and maintained with past, current and prospective customers with whom we conduct business. Financial information about You and your credit rating;viii. The value of your property;ix. Information in respect to a will or estate;x. References (e.g. to support rental arrangements);xi. Copies of photo identification (e.g. driver's licence, passport, student ID); orxii. Any other personal information relevant to the Service we are providing to You.
b. How do we collect and hold personal informationWe collect personal information from You by means considered lawful and fair. The personal information obtained by Us from You is for the purpose of enhancing the overall security and it will be used to identify You, to be the same person as that whom wishes to use our services (also refer to point d. below).We usually collect personal information directly from You. Sometimes We collect or confirm this information from a third party, such as for the purpose of verifying a tenant application. We will have used reasonable efforts to obtain your consent to do this.For the purposes of complying with our obligations under anti-money laundering laws, We are required to collect your personal information to confirm your identity. You agree that We may also collect sensitive information and other personal information deemed reasonably necessary for or directly related to the verification of your identity from commercially available third party databases and disclose it in line with the Privacy Commissioner’s guidelines.
c. We also collect personal information:
i. from your representatives (e.g. solicitor, accountant or financial adviser);ii. through our Website and by other electronic communication channels;iii. when sent to Us by email or other communication from third parties;iv. from publicly available sources of information including social media;v. when You transact with our franchisees or if You apply to become a franchisee;vi. when we are required to do so by law;vii. from Strata or Body Corporate, Strata or Body Corporate Managers and On-Site Managers;viii. when You enter into a competition or promotion with Us or participate in a survey including an after sales service' follow-up; andix. from our own records. d. e. Each time You visit our Website our server collects some anonymous information, known as click-stream data, including the type of browser and system You are using, the address of the website You have come from and move to after your visit, the date and time of your visit and your server's IP address. We may collect this information for statistical purposes to find out how our Website is used and navigated, including the number of hits, the frequency and duration of visits and most popular session times. We may use this information to evaluate and improve the Website’s performance.

4. Considerations when You send information to Us
a. While we do all we can to protect your privacy, including investing in specialist security software, no data transfer over the Internet is 100% secure.

When providing our services (including purchasing or selling a property or arranging finance), we may provide services or disclose personal information in countries other than Australia. This may include Sensitive Information.ii. Off-shore disclosure may be through arrangements we have with entities in other countries that supply international portals which facilitate the advertising of properties and businesses for sale to overseas buyers. iii. The overseas recipient may not be subject to any privacy obligations or to any principles similar to the Australian Privacy Principles. The overseas recipient may also be subject to a foreign law which could compel disclosure of personal information to a third party, for example, an overseas authority.iv. If You consent to the disclosure and the overseas recipient handles the information in breach of the Australian Privacy Principles, You will not be able to seek redress under the Privacy Act, may not be able to seek redress in the overseas jurisdiction and we will not be accountable under the Privacy Act.v. By providing Us with personal information, You consent to us using and disclosing your personal information off-shore. If at any time You wish to withdraw your consent, contact our Privacy Officer. However, we may not be able to provide the Services You have requested in whole or in part or those Services may have to be modified.

We do not use Sensitive Information for marketing purposes.

Reasonable steps will be taken to manage cross border disclosure of personal information. We will ensure that an overseas recipient will not breach the Australian Privacy principles. We will apply effective control whenever personal information is sent to a third party located overseas

We will take reasonable steps to keep the personal information that We hold about You secure to ensure that it is protected from loss, unauthorised access, use, modification or disclosure and may destroy or ‘de –identify” personal information that is no longer needed. If You have concerns or wish to make a complaint to Us regarding the treatment of your personal information which may be interpreted as a possible breach of the Australian Privacy Principles (APPs) or a registered APP code (if any) please contact us and We will use our best efforts to address and rectify your complaint within a reasonable period and in line with our dispute handselling process. We will not charge You any money for the resolution process involving Your complaint or for providing You with access to the personal information held by Us about You.
